Privacy Policy

1. Who we are

The AI Dynasty is a business operated by Jeff Watkins Jr, a sole proprietor ("The AI Dynasty," "we," "us," or "our").

We sell monthly software subscriptions to service businesses. Our main product is an AI receptionist that answers phone calls and web voice chats, sends text messages, and books appointments. We also provide CRM and marketing automation software. In this policy, all of this is called the "Service." Our website is theaidynasty.com (the "Site").

This policy explains what personal information we collect, how we use it, who we share it with, and the choices you have. If you have questions, email us at [email protected].

2. Two roles we play

It helps to know that we handle personal information in two different ways.

  • As a business. When you visit our Site, book a call with us, call our demo line, sign up as a client, or get messages from us, we decide how your information is used. This policy covers that information.
  • As a service provider for our clients. Our clients are businesses (for example, a medspa or a gym) that use our Service to answer their own calls and texts and book their own customers. When someone calls or texts one of our clients, we process that person's information on behalf of that client and under the client's instructions. In that case, the client is in charge of the information and the client's own privacy policy applies. We use it only to provide the Service to that client. If you are a customer of one of our clients and have a privacy question or request, please contact that business directly. If you contact us instead, we will forward your request to them where we can.

3. Information we collect

Information you give us

  • Contact details, such as your name, email address, phone number, business name, and job title, when you book a call, fill out a form, sign up, or email us.
  • Business details you share during setup, such as your services, hours, prices, frequently asked questions, calendar settings, and business phone number.
  • Billing details when you start a trial or subscription. Card payments are handled by our payment processor. We do not store your full card number on our own systems.
  • Messages you send us by email, text, or chat.

Calls and voice chats with our AI

When you call a phone line answered by our AI (including our demo line) or use the "Talk to me" voice chat on our Site, we and our providers may collect:

  • Your phone number and caller ID information
  • The date, time, and length of the call
  • A recording of the call
  • A written transcript of the call
  • An AI-generated summary of the call, and details pulled from it, such as your name, the reason you called, and any appointment you booked

Calls may be recorded and are handled by an artificial intelligence (AI) assistant, not a live person. If you do not want your call recorded or handled by AI, please hang up and contact the business another way, such as by email.

Information collected automatically on our Site

When you visit our Site, we and our providers may automatically collect:

  • Your IP address, browser type, device type, and operating system
  • The pages you view, the links you click, and how long you stay
  • The website that sent you to us
  • Cookie and similar data (see section 7)

Information from others

We may receive information about you from our clients (for example, a client's customer list they upload to the Service), from scheduling and calendar tools you connect, and from public sources such as business listings.

4. How we use information

We use personal information to:

  • Provide, set up, run, and support the Service
  • Answer calls and chats, send follow-up texts, and book appointments
  • Create call transcripts and summaries
  • Process payments, place the $1 card verification hold, and manage subscriptions
  • Send trial reminders, billing notices, and other service messages
  • Reply to your questions and requests
  • Send you marketing messages, if you agreed to receive them (you can opt out at any time)
  • Improve and fix the Service and the Site, including reviewing calls to make the AI more accurate for that client
  • Prevent fraud, misuse, and security problems
  • Follow the law and enforce our Terms of Service

We do not use our clients' customer data for our own marketing.

5. How we share information

We do not sell or rent your personal information.

We share personal information only in these situations:

  • Service providers that help us run the business, such as:
  • our payment processor
  • our CRM and automation platform
  • our AI voice provider
  • AI and large language model (LLM) providers that help understand and respond to callers and write summaries
  • calendar and scheduling tools
  • email, text message (SMS), and phone carriers
  • website hosting and analytics providers

These providers may use the information only to perform services for us, and are expected to protect it.

  • Our clients. If you call, text, chat with, or book through a client's AI receptionist, your information (including recordings, transcripts, and summaries) goes to that client.
  • Legal reasons. When we believe the law requires it, such as to respond to a subpoena or court order, or to protect the rights, safety, or property of you, us, or others.
  • Business changes. If the business is sold, merged, or reorganized (for example, moved into a new company owned by the same owner), personal information may transfer as part of that change. This policy will still apply to it.
  • With your permission. In any other case where you ask us to or agree to it.

Text messaging (SMS) privacy

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. Phone carriers and our texting providers handle messages only to deliver them.

6. Text messages

If you give us your mobile number and agree to receive texts, you may get messages from us or, if you contacted one of our clients, from that business. Texts may include appointment confirmations and reminders, replies to your questions, follow-ups, and, only if you agreed to them, offers.

Reply STOP to opt out at any time. Reply HELP for help, or email [email protected]. Message and data rates may apply. Message frequency varies.

  • After you reply STOP, you may get one final message confirming you are opted out.
  • Agreeing to receive texts is not a condition of buying anything.
  • Carriers are not liable for delayed or undelivered messages.

7. Cookies and analytics

Cookies are small files stored on your browser. We and our providers use cookies and similar tools to keep the Site working, remember your settings, power the booking and voice chat tools, and understand how people use the Site.

We do not use cookies or pixels for targeted advertising at this time. If we add advertising tools (such as social media ad pixels), we will update this policy and give you a way to opt out.

You can block or delete cookies in your browser settings. Some parts of the Site, such as the booking calendar or voice chat, may not work without them. Our Site does not currently respond to "Do Not Track" browser signals. Because we do not sell personal information or use it for targeted advertising, there is nothing for a Global Privacy Control signal to turn off, but we will treat that signal as an opt-out request if that ever changes.

8. AI and accuracy

Our Service uses AI to talk with callers, write transcripts, and create summaries. AI can make mistakes. It may mishear words, misunderstand a request, or produce a summary that is not fully accurate. Please do not rely on AI output alone for important decisions, and contact the business directly to confirm anything that matters.

We do not use our clients' customer data to train AI models offered to anyone else.

9. Health and sensitive information

Some of our clients work in health and wellness, such as medspas and chiropractors. Please do not share medical details, payment card numbers, Social Security numbers, or other sensitive information during an AI call or chat unless the business asks for it.

The Service is not set up to meet HIPAA requirements. Please do not share health information through it.

10. How long we keep information

We keep personal information only as long as we need it for the reasons in this policy, or as the law requires. In general:

  • Client account and billing records: for as long as you are a client, and then as long as needed for tax, accounting, and legal reasons, usually 7 years.
  • Call recordings, transcripts, and summaries: for as long as the client's account is active, unless the client deletes them sooner, and for up to 90 days after the account ends.
  • Site visitor and prospect information: for up to 24 months after our last contact with you, unless you become a client or ask us to delete it sooner.
  • Text opt-out records: kept as long as needed to honor your STOP request.

11. How we protect information

We use reasonable steps to protect personal information, such as access controls, password protection, and providers that encrypt data. No website, phone system, or internet transfer is 100% secure, so we cannot promise perfect security. If we learn of a security breach that affects your personal information, we will notify you and others as the law requires.

12. Your choices and rights

Depending on where you live, you may have the right to:

  • Know and access the personal information we have about you
  • Correct information that is wrong
  • Delete your personal information
  • Get a copy of your information in a portable format
  • Opt out of the sale or sharing of personal information, and of targeted advertising (we do not do either)
  • Opt out of marketing emails (use the unsubscribe link) and texts (reply STOP)
  • Not be treated differently for using any of these rights

To make a request, email [email protected] with the subject line "Privacy Request." We may need to confirm your identity before we act, for example by asking you to reply from the email or phone number we have on file. You may use an authorized agent to make a request for you; we may ask for proof that the agent is allowed to act for you. We will respond within the time the law requires, usually within 45 days. If we say no to your request, you may appeal by replying to our answer with the subject line "Privacy Appeal."

We honor these requests for all of our users, even if your state's privacy law does not require it.

If your information came to us through one of our clients (for example, you called a medspa that uses our Service), we will send your request to that client, because they control that information.

California residents

California law gives California residents the rights listed above. In the past 12 months we collected the types of information described in section 3 (identifiers, contact details, commercial information such as subscriptions, internet activity, audio recordings, and information we infer from calls) for the purposes in section 4, and shared them only with the categories of recipients in section 5. We do not sell or share personal information for cross-context behavioral advertising, and we have not done so in the past 12 months. We do not use sensitive personal information to infer characteristics about you.

Nevada residents

Nevada residents may ask us not to sell their personal information. We do not sell personal information, but you may still send a request to [email protected] and we will record it.

13. Children's privacy

Our Site and Service are made for businesses and adults. They are not meant for children under 13, and we do not knowingly collect personal information from children under 13. If you think a child has given us personal information, email [email protected] and we will delete it.

14. Links to other websites

Our Site may link to other websites and tools, such as a booking page or a client's website. We are not responsible for how those sites handle your information. Please read their privacy policies.

15. Changes to this policy

We may update this policy from time to time. When we do, we will post the new version on this page and change the "Last updated" date at the top. If we make a big change, we will tell clients by email before it takes effect.
